1. Introduction

- CV Renew 365 is a SharePoint-based subscription and renewal management system designed to help organizations efficiently track and manage license renewals, subscriptions, and important notifications.
- The system enables administrators to configure automated email reminders for upcoming renewals, overdue items, and scheduled notifications, ensuring that no critical deadlines are missed.
- CV Renew 365 provides a centralized platform where teams can manage renewal data, customize email templates, and monitor subscription status, improving operational efficiency and compliance across the organization
2. User Roles

- The system supports two user roles.
- Admin (Full control) (Manage Systems controls)
- Normal User (Track/Manage subscription logs)
3. Dashboard
- The CV Renew 365 dashboard gives you a real-time snapshot of renewals, overdue contracts, and upcoming revenue — all in one view.

- The Dashboard in CV Renew 365 provides a centralized view of subscription and AMC (Annual Maintenance Contract) activities, enabling users to quickly monitor renewals, financial status, and recent updates.
- The top navigation menu allows easy access to:
- Dashboard – Overview of all activities
- Subscribers – Manage subscription records
- Settings – Configure templates, Default Email, Reminders and system behaviour.
- Below the summary section, the Upcoming Renewals Forecast chart visually represents expected renewal revenue across upcoming months.
- The dashboard also includes a detailed Upcoming/Overdue Renewals section:
- Lists of clients with upcoming/Overdue renewal dates
- Provides quick Action buttons to manage or process renewals/view-history/cancel Subscription efficiently.
4. Add Subscription
- Add and store new client subscription or AMC records with all key details to keep your renewal data centralized and up to date

- The Add Subscription feature allows users to create and store new subscription or AMC records in the system. This ensures all client renewal data is maintained in a centralized and structured manner.
- Users can access this feature by clicking the “+ New Subscription” button available on the Subscribers tab.
5. Subscribers
- View, search, and manage all client subscription records in one place, with quick filters by client name, service type, and status.

- The Subscribers section provides a comprehensive list of all subscription records available in the system. It enables users to view, search, and manage subscriber details efficiently.
- Users can utilize the search and filtering functionality to quickly find specific records based on (Client Name, Service Type, Status)

- Renewal History: View Past subscription renewal History by each subscriber.
6. Settings
- Configure email templates, reminders, metadata, and general application behaviour to tailor CV Renew 365 to your organization’s needs.

- The Settings section in CV Renew 365 allows to configure system behavior, manage email templates, and control reminder and general application settings. This section ensures flexibility and customization based on organizational needs.

6.1. Email Template
- The Email Template section allows users to create and manage predefined email formats used for communication with clients.

- Users can add new templates using the “+” (Add) button
- Templates can be customized for different scenarios such as:
- Click on the email template name to edit it.

6.2. Default Email Template
- Set default email templates for renewal, overdue, and reminder notifications so the right format is automatically applied every time.

- This section allows users to assign default templates for specific notification types:
- Renewal – Default template used for renewal notifications
- Overdue – Template used when a subscription becomes overdue
- Reminder – Template used for scheduled reminders
- Setting default templates ensures that the correct email format is automatically selected during automated or manual communication.

6.3. Reminders
- The Reminders section helps manage notification workflows.

- Send Reminders – Trigger reminder emails to send emails to bulk of clients using excel file uploaded
- Upload Excel: – Download sample file & upload same structure of data for send reminders in bulk
- Review Users: – Review & select client’s data from detail list & also select reminder schedule template
- Send Email:- Review & confirm email details & click on send reminder. Once click on send reminder email will be sent selected all clients as configured email template.
- Reminder History – View previously sent reminders for tracking and auditing purposes
- This feature ensures timely communication and reduces the risk of missed renewals.

6.4. General Settings
- The General section provides control over system-level configurations:
- Admin – Assign another user as administrator control for system-level configurations
- Subscribers List – Manage subscribers list view records with order & visibility
- Upcoming Renewals – Manage upcoming subscription data with order & visibility
- Overdue Accounts – Manage overdue subscriptions data with order & visibility
- Add Subscription – Configure & Manage add subscription form fields with visibility & required or not.
- Tabs Taxonomy – Manage navigation structure or tab organization
- Header Settings – Customize the header section of the application as Header Title, Header Options & Header Title Icon
- Default Webpart Display in Full Screen – Enable or disable full-screen view by default
- Display Version info – Enable or disable for show solution version at header section
- Display Tenant info – Enable or disable for show Tenant name at header section
7. System Limitations – Free Version
- Assign a default email template for each notification type — renewal, overdue, and reminder — to ensure consistent client communication.

- The Free Version of CV Renew 365 includes limited functionality.
The following restrictions apply:- Maximum 10 subscribers’ entries
- Maximum 5 Bulk reminders
- If a user attempts to exceed these limits, the system will display a Premium Upgrade
